ChatGPT as a task manager: the AI you already use, plus a board
The best AI task manager may be ChatGPT plus a board it writes to: setup on the Free plan, six prompts that work, and how Todoist, Motion and ClickUp compare.
Weft is the AI task manager for solo founders and small teams.
By Andrei Finogeev ·
For a lot of people, the best AI task manager is the AI they already talk to every day, plus a board it can write to. Connect ChatGPT to a task board and you capture, break down and close tasks by typing a sentence, while the list itself lives somewhere permanent that you can also open on your phone. With Weft this takes a few minutes and works on every ChatGPT plan, including Free.
We make Weft. Facts about other products come from their official pages, checked on 27 October 2026.
What do people actually want from an "AI task manager"?
Strip away the marketing and most requests come down to four things.
- Capture by talking. Say "remind me to renew the domain and email the accountant" and have two tasks appear, without opening a form.
- Breakdown. Turn "launch the newsletter" into steps small enough to start today.
- What's next. Ask "what should I do now?" and get an answer based on what is actually open, overdue or due soon.
- A place that remembers. Tomorrow, next week, from another device or another AI, the list is still there and still correct.
The first three are things a chat model already does well. The fourth is the part a chat cannot do on its own, and it is the part that makes the other three worth anything.
Why isn't ChatGPT alone enough?
A to-do list kept inside a chat works for an afternoon. Then the gaps show.
- No persistent shared list. The list lives in one chat. Start a new chat, switch to Claude or Cursor, or ask a colleague to look, and there is nothing to point at.
- Nothing on your home screen. A to-do list you have to scroll back through a conversation to find is not one you glance at between meetings.
- No status. A chat has text, not columns. There is no clear Backlog, Todo, Doing and Done, no date you can filter on, and no record of when something was finished.
A board fixes all three. The AI stays the interface you talk to; the board is the memory. The two connect through the Model Context Protocol, an open standard for letting an AI client call tools in another app.
How do I set up a ChatGPT task board, step by step?
Weft is a published app in ChatGPT's plugin directory, so there is no server address to paste and no key to copy. It works on every ChatGPT plan, including Free; Enterprise and Edu workspaces need an admin to enable plugins first. The full guide, with a direct link, is on our ChatGPT setup page.
- Create a free Weft account at letsweft.com. A new board starts with four columns: Backlog, Todo, Doing and Done.
- In ChatGPT, open Plugins in the sidebar, or go to Settings → Plugins.
- Search for "Weft" and open the listing.
- Click Connect and review what Weft can access.
- Sign in with your Weft account in the popup. On the consent screen you can give this connection full rights, write (everything except the three destructive tools) or read only. You can change it later in Settings → Connected AI clients, or press Disconnect.
- Test it: in any chat, type
@Weft what's on my board?or pick Weft from the + menu. If you skipped a step, ChatGPT offers to connect inline.
The sign-in is OAuth, and Weft issues refresh tokens, so the client renews the sign-in itself. There is nothing to paste into ChatGPT.
Which prompts work well with a ChatGPT to-do list?
Weft gives ChatGPT 32 tools: create and update tasks, move them between columns, search, run sprints, archive what is done and more. You don't need to know their names. Six prompts cover most days:
1. Capture
@Weft add three tasks to Todo: renew the domain before Friday,
email the accountant about Q3, and book the dentist.
2. Break down
@Weft I need to launch the newsletter. Break it into 5–7 tasks
in Backlog, each one small enough to finish in an hour.
3. What's next today
@Weft what's overdue or due soon, and which one task should I
start first? Move it to Doing.
4. Move to done with a note
@Weft mark "email the accountant" as done. Note: sent the
Q3 numbers, waiting for a reply by Monday.
5. Weekly review
@Weft review my board: what got done this week, what is stuck
in Doing, and what in Backlog should move to Todo?
6. Clean up
@Weft archive everything in Done and list any Backlog tasks
older than a month so I can decide what to drop.A few notes from how the tools behave. When you ask for many tasks at once, ChatGPT can create them in a single all-or-nothing call, and that counts as one call against your quota. Tasks you add without naming a column land in Backlog. Archiving Done is one of the three destructive actions, so it only works on a connection with full rights. Deleted tasks go to a 30-day trash; restoring from it is a Pro feature.
On the Free plan you get 50 active tasks on the board and 200 AI tool calls a month, and the first 48 hours after sign-up are not metered. Archived tasks don't count toward the 50.
Can I see the same board on my phone, or from Claude or Cursor later?
Yes. This is the part that a chat-only list cannot give you.
- iPhone and Android. Weft has native apps on the App Store and Google Play. What you added in ChatGPT is on the board there. If an AI asks you a question, it reaches your Inbox and arrives as a push notification.
- Claude. In claude.ai or Claude Desktop, add Weft as a custom connector (Settings → Connectors → Add custom connector). Weft is not in Anthropic's connector directory, so this is the route. Setup is on our Claude page.
- Cursor, Claude Code and Codex. Cursor has a one-click install; Claude Code takes one command; Codex needs a config line and a sign-in. See Cursor, Claude Code and Codex. We keep 33 client setup pages in all.
Each connected client is its own actor on the board, shown under the name it registered with, so you can tell which assistant created a task. When a coding agent picks a task up, it claims it with a 20-minute lease that it renews while it works; a second agent trying the same task is told it is already claimed.
Weft is available in 27 languages. More on the agent side in Stop updating your task board by hand and why decisions made in AI chats get lost.
How does Weft compare with other AI task managers?
The phrase "AI task manager" covers very different products. Some put the AI inside their own app and bill for it; some let you bring the AI you already use; one schedules your calendar. Here is what each official page says.
| Tool | Where you talk to the AI | AI cost included? | Mobile apps | Free plan | Paid from |
|---|---|---|---|---|---|
| Weft | Your own client: ChatGPT app (every plan, incl. Free), Claude custom connector, Cursor, Claude Code, Codex and others over MCP | Not needed: no AI credits, the thinking happens in your ChatGPT or Claude | iOS and Android (native) | 50 active tasks, 200 AI calls a month | $7 per seat a month, or $60 per seat a year |
| Todoist | Official MCP server with OAuth; a Todoist app in ChatGPT, according to Todoist; listed in Claude's directory | Todoist Assist in full on Pro and Business; limited on Free | iOS and Android (App Store, Google Play) | Beginner: 5 personal projects, MCP included | Pro $5 a month billed yearly ($60), $7 monthly |
| Motion | No official MCP server found; REST API with an API key | AI credits included in the AI plans (7,500 on Pro AI) | iOS and Android (App Store, Google Play) | No free plan; free trial | Pro AI $19 per seat a month billed yearly, $29 monthly |
| ClickUp | Official MCP server, OAuth only; ChatGPT through Apps, according to ClickUp; listed in Claude's directory | ClickUp Brain with a monthly credit allowance on every plan; extra credits sold | iOS and Android (App Store, Google Play) | Free Forever; MCP capped at 100 calls per 24 hours per Workspace per client | Core $9 per user a month billed yearly |
| Hypertask | Built-in AI in the app; ChatGPT through a custom GPT with OpenAPI Actions (no ChatGPT app found); Claude as a custom connector | Free: starter allowance; BYOK: your own keys; Pro: AI included | No native iOS app (add the web app to the home screen); no Google Play listing | Up to 3 boards per person, unlimited members and tickets | BYOK $8 per user a month billed yearly, $10 monthly |

Hypertask's own guide to AI task managers points readers toward agent-ready boards, and that is a fair category. Its strengths are real: keyboard-first speed, built-in AI (Task Writer, smart labels, triage), a CLI, a REST API and time tracking. If you want to keep talking to ChatGPT, on your phone as well, Weft is built for that. More detail in our Hypertask alternative write-up and the full MCP task manager comparison.
When would I rather want a calendar tool or a personal to-do app?
You want your day scheduled for you: Motion
If the real problem is fitting tasks into calendar time, a scheduler is the right category. Motion's pricing starts at Pro AI, $19 per seat a month billed yearly, with a free trial and no free plan. We found no official MCP server for Motion on its site, docs or llms.txt, only a REST API that uses an API key, so ChatGPT or Claude cannot work with it the way they work with an MCP board. Note that the "Motion" in Claude's connector directory is Motion Creative Analytics, a different company. Weft shows dated tasks and sprints in month and week views and gives you a private calendar link, but it does not block out time slots for you. See Weft vs Motion.
You want a polished personal to-do list: Todoist
If your list is personal, with recurring chores and a habit of daily review, Todoist is a strong choice. It has an official MCP server with OAuth, a Todoist app in ChatGPT according to Todoist, and a listing in Claude's directory. Its free Beginner plan includes MCP, with 5 personal projects; Pro is $5 a month billed yearly. Todoist's own help notes that changing a date through MCP can strip a recurrence. Pick Weft instead if you want columns and sprints, several AI clients and agents sharing one board, or a small team on it. See Weft vs Todoist.
What Weft does not do
Weft has no built-in AI of its own and no AI credits to buy. It does not auto-schedule your calendar, has no time tracking, no CLI and no public REST API. If you need any of those inside the task tool, choose something else.
- Do I need ChatGPT Plus to use Weft in ChatGPT?
- No. Weft is a published app in ChatGPT's plugin directory and works on every plan, including Free. Enterprise and Edu workspaces need an admin to enable plugins. Steps are on the ChatGPT setup page.
- Does Weft charge for AI?
- No. Weft has no AI credits. The thinking happens in the AI client you already use, so Weft prices only the board: Free with 50 active tasks and 200 AI calls a month, or Pro at $7 per seat a month or $60 per seat a year. See pricing.
- Can ChatGPT delete my tasks by mistake?
- Only if you let it. Each connection has full, write or read rights; write excludes the three destructive actions (trash a task, archive Done, complete a sprint). Trashed tasks stay in a 30-day trash, and restoring them is a Pro feature. You can also Disconnect a client at any time.
- Will Weft remind me about due dates?
- ChatGPT can ask Weft what is overdue or due soon, and dated tasks appear in the calendar view and in a private calendar link you can subscribe to. Weft does not schedule time slots for you. Push notifications are for items waiting on you in the Inbox.
- Is this only for solo use?
- No. Weft is for individuals and small teams. Pro adds team invites and roles at the same flat price per seat.
- What if I already use Todoist, Trello or Notion?
- Weft imports Trello JSON and CSV from Linear, Jira or Notion on every plan. If your list is personal and recurring, Todoist may simply be the better fit, and it has its own ChatGPT app according to Todoist.
